EndNote: Upgrading EndNote

Guidance and support material for using EndNote referencing software.

Why Upgrade EndNote?

EndNote is updated regularly to fix minor bugs and improve functionality. From time to time there is a more significant upgrade with a new interface and features. Currently, there are 3 versions of EndNote at the University: EndNote X9, EndNote 20 and EndNote 21.

Performance Issues
Users have reported a performance issue with existing versions of EndNote (especially EN 21). After opening a Word, the document and EndNote freeze for between 2 - 6 minutes when adding your first citation.

This time delay is due to EndNote synchronising with the full database of over 7,000 EndNote styles. EndNote have advised to install only the most popular 500 styles (including those most frequently used at Stirling). Additional styles can be downloaded from the EndNote Web site as required.

Upgrade to EndNote 21.5

We recommend you upgrade to EndNote 21.5 which is configured with the top 500 styles. This should resolve the time delay issue. 

Which Version of EndNote do I have?

To check your version of EndNote:

  • EndNote > Help > About EndNote
  • EndNote will tell you the exact version e.g. EndNote X9.2, EndNote 21.5 etc.

EndNote X9 Users - Please Read Before Starting Your Upgrade

X9 users should upgrade to EndNote 21.5 at the earliest opportunity as the software supplier (Clarivate) no longer fully support X9.

  • There are significant changes between X9.2 (or earlier) and later versions. Take care to back up your Library and make copies of working documents.
  • Follow the instructions below and when you open your existing Library/Libraries, Endnote will ask if you wish to convert it
  • Say yes and EndNote will create a new Library with a name indicating it has been converted.
  • You can change the name if you wish but it is advisable to create a backup first (EndNote > File > Compressed Library). You need to rename both the .enl file and also the .data folder. If you would like help with this contact the Library.
  • Your old library will be retained.  You may delete it at a later date once you are happy that the converted Library is working well.

Any reason to delay upgrade? If you are completing a piece of work or have an urgent deadline, you might prefer to do the upgrade when it is finished. Don't forget to take regular backups.

Upgrading to EndNote 21.5 on University Laptops and Computers

  1. Check that your EndNote Library/Libraries is on the hard drive of your computer and not synchronised with OneDrive or other cloud storage.
    • On University laptops and computers your EndNote Library should be stored on C:\{username} e.g. C:\MSM4.
    • If your Library is not at C:{username}, follow the guidance to move it or contact the Library for help.
  2. ESSENTIAL: Back up your EndNote Library/Libraries (EndNote > File > Compressed Library).
    • Save or move your backup file to OneDrive. If anything goes wrong and you need to use the backup, you will copy it back to C:{username}. Recognise the backup as it will have file Type = Archived EndNote Library and may show file extension .enlx
  3. Make copies of any Word documents you are working on which include EndNote references so that they are also backed up.
  4. Close any apps or software (especially OutLook, Word and Excel).
  5. Remove your version of EndNote via CloudPaging Player (on the bottom task bar of your machine).

  6. Launch EndNote 21.5 from AppsAnywhere. This will create the virtualised application but will not start automatically
  7. When the Cloudpaging Player completes the virtualisation (i.e. when it says Ready), launch EndNote (either from CloudPaging Player or from the Start menu).
  8. EndNote will ask if  you wish to open an existing Library or create a new Library
    • Make sure you save any new Library to C:{username} e.g. C:\MSM4 (not to C:\documents).
    • If your existing Library is not already in C:{username} e.g. you should move it there before launching EndNote.

Upgrading to EndNote 21.5 on Personally Owned Laptops and Computers

  1. Follow the steps above for installing to University laptops but the location of your EndNote Library may be different.
  2. EndNote will automatically try to save your Library to C:/Documents. On a personally owned laptop this is acceptable as long as the drive does not automatically synchronise with OneDrive.
    (On University machines the Documents folder automatically synchronises with OneDrive and must not be used for your Library).

Download Additional EndNote Styles

EndNote 21.5 and later versions include around 500 of EndNote's most popular styles (including those most frequently used at Stirling).

If a style you need is not available in EndNote, you can download it from the EndNote Website. EndNote provides over 7,000 referencing styles including many created by publishers, journals and other Universities.

  1. Open EndNote > Tools > Output Styles > Open Style Manager.
  2. Get More on the Web ...

  3. Search for the style you want and click its Download option.
  4. The style is saved to your computer's Downloads folder with a .ens file extension.  Double-click the style file and it will open in EndNote.
  5. In EndNote, go to File Menu > Save As. Rename the style (e.g. remove the word copy) if you wish and click Save.
  6. Click on File Menu and choose Close Style.
  7. In your EndNote Library or Word document, change the style as usual with the Select Another Style option.

File Location for additional Styles: Note that downloaded styles are automatically stored in your documents folder [e.g. C:\Users\msm4\OneDrive - University of Stirling\Documents\EndNote\Style]. Although this folder synchronises with OneDrive, EndNote have confirmed that it is an acceptable location. It is not necessary to move it to C:\ {Username} unless you prefer to.

Upgrading on a Mac

Follow general guidance on the left including backing up files and uninstall earlier version of EndNote.

Install EndNote on personally owned Mac computers from AppsAnywhere.

For University machines, submit a 'Request Endnote for University Macs' form agreeing to abide by the licence terms. Information Centre staff will provide instructions to donload the software or update licence codes.

Storing Your Endnote Library

It is essential that your Endnote Library is stored on your local hard drive. Do not store it on cloud storage services like OneDrive, Dropbox, or Google Drive. These services may corrupt your Endnote Library. 

On University laptops and computers store your EndNote Libraries and Data folders at C:\{Username} e.g. C:\msm4.

This PC > Windows (C:) > Username (e.g. MSM4)

Backing Up Your Endnote Library

Create back-ups frequently using the Compressed Library option (EndNote > File > Compressed Library).

Store your back-up library in OneDrive and restore it to your hard drive if you need to at any time.

Syncing your Endnote Library

If you work between different devices you must synchronise your data via EndNote Online. If regularly synchronised, EndNote Online can provide an additonal backup of your Library.
